Productivity tools

Nose picking

Last year I have been struggling with keeping track of things I need to do. It was easy during a time when I was working on a couple of projects at a time and only have to answer to my boss and myself. But when our team got a little bigger (up from 5 to 9 people), and I suddenly have a few more people for whom I am responsible for, it’s becomes more difficult trying to stay ahead and keeping sane with the huge amount of things (and information) that is bombarding into my brain.

I started reading about productivity and after trying a number of systems, I finally settled on one that seems to stick. You can find out more by googling “Getting Things Done” online.

While learning more about how to deal with things that comes my way, I am also having a bit of fun experimenting with different tools that help me organise my life.

These are the tools that seems to work best for me:
  • Remember the Milk service as my gathering and context lists system. Read this to find out how I implement GTD with Remember the Milk.
  • Pens and small pads on my home desk and work desk for gathering to do stuff. Still the fastest way to jot things down.
  • iCal (for home) and Exchange calendar (for work) to remind me of appointments or things I need to do at that time.
  • TaskPaper for brainstorming, usually for my work projects.
  • iPhone for gathering to do stuff and assessing my context lists through RTM, and also my reminders (which I sync to iCal and Exchange) while I am away from my desk.
Even with these tools, the challenging part is to do it consistently enough so that it becomes second natured to me. I am happy to say that I am on it for about 2 months and it is sticking on me. I am still improving it to make it more efficient and I find that the simpler the system becomes, the easier it is to stick to it.
